OFFICE ADMINISTRATOR / BOOKKEEPER (1 yr contract – possible extension)

Radio Amateurs of Canada is a not-for-profit membership association with headquarters in Ottawa, Ontario, Canada. It is a national organization, representing the interests of amateur radio all across Canada. Speaking on behalf of Canadian radio amateurs, RAC provides liaison with government agencies and carries the amateur voice about regulatory and spectrum issues to the discussion table with government and industry leaders, nationally and internationally. RAC is the Canadian voting member society of the International Amateur Radio Union, (IARU). RAC also provides many services, publications and supplies to its members to enhance their enjoyment of amateur radio.

Duties and Responsibilities:

General office duties including, but not limited to:

  • Handling incoming and outgoing mail
  • Responding to telephone and email inquires from members, advertisers and vendors
  • Processing membership renewals into a database
  • Process monthly renewal reminders
  • Maintain various sponsor programs
  • Ensuring book store inventory levels are maintained to ensure sales
  • Ordering office supplies
  • Full bookkeeping cycle including, but not limited to:
    • Accounts Receivable – processing and mailing invoices to customers in accounting software for merchandise orders, advertising revenue,
    • Accounts Payable – processing vendor invoices and make payments through ecommerce and/or cheque as required
    • Monthly deferred revenue, accrued liabilities and prepaid entries
    • Reconcile banks, credit cards and e-commerce accounts
    • Analyze and record revenue in accounting software
    • Input payroll and remit monthly source deductions, quarterly WSIB
    • GST/HST quarterly remittance
    • Weekly bank deposits
    • Maintain tidy and accurate files

Qualifications and Requirements:

  • Completion of College – focus in Accounting or equivalent work experience (Minimum 5 years)
  • Minimum 3 years experience with Quickbooks, including using the “class” for coding and listing
  • Complete understanding of deferred revenue accounting and accrued liabilities
  • Must be organized and detail oriented
  • Ability to work with minimal supervision
  • Must be able to take weekly deposits to the bank
  • French would be considered an asset
